Planning: Medical Equipment planning is often not at the forefront of capital planning; however, the investment can easily account for 20-30% of the capital outlay required for a new hospital and far greater for isolated renovation projects.

HSG has combined the experience of our personnel including design, construction, and logistics to create a project team that fully understands the importance of medical equipment in the design, building, and clinical environments. Procurement: HSG understands that every client has a preferred protocol for purchasing equipment. All applicable project team members discuss the preferred purchasing process. The documented process is then published to avoid any confusion throughout the project.

Prior to obtaining quotes for equipment, the HSG team works with administration to determine the steps necessary to complete any given equipment purchase. For example, the team documents the steps required to transition a quote into a purchase order. Once a quote is received it is then compared to the projected budget. If the quote is within the projected budget HSG initiates the purchase request process.

If the quote is over the projected budget amount, we work with administration to decide if there is an allowable threshold, and what amount that threshold will be. If a quote is received which is outside the predetermined threshold, HSG presents the information to administration who either approves the purchase, or requests re-engagement of the department contact to determine possible alternatives, quantity or manufacturer adjustments. All purchasing information including vendor and manufacturer information, quotes and quote numbers, purchase order numbers and issue dates are recorded in Audaxware software for quick reference. Audaxware is also able to generate customized reports regarding the progress of procurement from planning through purchasing.
Logistics Management: The logistics phase of the project includes many tasks which follow the issuance of a purchase order from the owner and ends with the equipment in the appropriate place ready for use. This most often left out most engagements by our competitors or they simply do not have the experience to fully commit.

The logistics phase includes contacting vendors to ensure that the purchase order has been received and securing a lead time for time sensitive equipment. The applicable purchasing information as well as scheduled delivery information is input into Audaxware, HSG's chosen web based planning tool to help ensure the project remains on schedule.
